Account payable and administration support
Purpose of position
The work consists of performing various tasks of a technical and administrative nature relating to the overall management of the City’s accounts payable. Within this context, the incumbent is responsible for entering, verifying, and balancing data, as well as ensuring the accuracy of data. The incumbent is also responsible for carrying out various clerical accounting tasks involving the accounts payable system by assisting and collaborating in the reconciliation of certain bank statements related to his or her position. The incumbent must ensure that deadlines are respected and that administrative control and follow-up are performed in the files under his or her responsibility.
In addition, the incumbent must provide administrative and operational support to the Finance Department by carrying out various tasks related to general office work.
Qualifications
- High school diploma and 9 credits of collegial studies in a relevant field.
Experience
- Two (2) years of experience in an environment that enabled the incumbent to become familiar with the field.
EXAMPLES OF TASKS
- Entering data related to invoices and expenditures; ensuring that purchase logs, direct expenditure logs, and cash disbursements are posted, and cheques are issued.
- Verifying and monitoring adjustments in purchase logs.
- Ensuring payments are made on time while taking into account supplier discount rates and issuing stop payment orders, as needed.
- Ensuring deadlines are met, performing follow-up and control of the files under his or her responsibility, and notifying his or her supervisor of any discrepancies found.
Knowledge of:
- Work methods and processes related to accounts payable
- English and French, spoken and written (bilingual)
- Windows software (Word, Excel, Outlook, etc.)
- Record keeping, filing methods and general office work
- Basic principles of customer service and the administrative workings of a municipality
